At HCL Car Rental, we believe in transparent, honest, and easy-to-understand pricing. Our goal is to ensure each customer knows exactly what they are paying for — with no hidden surprises. This Fare Disclosure outlines the way our prices, fees, taxes, and optional charges are calculated across all car rental reservations made through HCL Car Rental.

By reserving a vehicle on our platform, you acknowledge and agree to the pricing practices explained below.

  1. Base Rental Rate
    The Base Rental Rate is the starting price of your chosen vehicle category. This rate typically includes:
    • Standard mileage (limited or unlimited depending on vehicle type)
    • Basic rental period (per day or per week)
    • Standard rental conditions
    • Mandatory vehicle registration and plate fees
    • Access to customer support
    The base rate does not include taxes, government-imposed fees, optional add-ons, tolls, insurance, or security deposits.
  2. Taxes & Government Fees
    Depending on the pickup location, your rental may include:
    • State sales tax
    • County and city rental taxes
    • Vehicle licensing fee (VLF)
    • Tourism or convention-center fee
    • Airport concession recovery fee
    • Energy surcharge (where applicable)
    • Transportation or road-use fee
    These taxes are set by government entities and may vary based on the jurisdiction where the vehicle is picked up.
    HCL Car Rental does not control tax amounts and applies them exactly as mandated.
  3. Airport & Facility Charges
    If you pick up or return your rental at an airport, additional charges may apply, such as:
    Deposit Refund Timeline
    • Airport Concession Fee
    • Customer Facility Charge (CFC)
    • Terminal Development Fee
    • Shuttle or transportation surcharge
    These fees help maintain airport rental infrastructure and vary by location.
  4. Optional Add-Ons & Equipment Fees
    HCL Car Rental provides optional add-ons for enhanced convenience. These are charged separately from the base fare:
    • GPS navigation system
    • Child safety seats (infant, toddler, or booster)
    • Additional driver(s)
    • Premium roadside assistance
    • Wi-Fi hotspot devices
    • Winter tires or snow chains (if applicable)
    • Toll transponder rental
    All optional items are billed per day unless otherwise specified.
  5. Insurance & Protection Plans
    Insurance is not included in the base rental rate unless explicitly stated.
    Optional protection plans may include:
    • Collision Damage Waiver (CDW)
    • Loss Damage Waiver (LDW)
    • Supplemental Liability Coverage
    • Personal Accident Insurance
    • Personal Effects Coverage
    Coverage limits, exclusions, and pricing depend on the provider and renter eligibility.
    Declining coverage may require you to use your own insurance or credit card protection.
  6. Fuel Policy Charges
    Fuel charges depend on the selected fuel policy:
    1. Full-to-Full (Standard Policy)
      • You receive the vehicle with a full tank.
      • You must return it full to avoid refueling charges.
    2. Prepaid Fuel Option
      • Pay upfront for a full tank at competitive rates.
      • No need to refill before returning the vehicle.
    3. Refueling Service Charge
      If you return the vehicle with less fuel, a per-gallon refueling charge plus service fee may apply.
  7. Mileage Policies & Overage Fees
    Some rental classes include unlimited mileage, while others may have mileage restrictions.
    If mileage is limited on your reservation, exceeding the limit will incur:
    • A per-mile overage fee
    • Additional administrative charges (in rare cases)
    Mileage details are clearly displayed before finalizing your reservation.
  8. Late Return, Early Return, & No-Show Fees
    1. Late Return Fee
      Returning the vehicle after the grace period may result in:
      • Additional hourly charges
      • Full extra-day charges
      • Additional penalties depending on location
    2. Early Return Policy
      Returning a vehicle earlier than expected does not guarantee a refund for unused days.
    3. No-Show Charges
      If you reserve a car and fail to appear without cancellation, a no-show fee may apply.
  9. Security Deposit & Authorization Holds
    To protect against potential damage, tolls, or unpaid balances, a refundable security hold is placed on your payment card at pickup.
    This is not a charge and will be released after:
    • Vehicle inspection
    • Final billing reconciliation
    • Toll and parking checks
    Processing times vary by card issuer.
  10. Toll, Parking, and Traffic Violation Fees
    Any tolls, fines, or violations incurred during your rental are your responsibility.
    HCL Car Rental may charge:
    • The fine amount
    • Associated administrative fees
    • Third-party processing costs
    When available, toll transponder rentals can help avoid penalty toll rates.
  11. Price Fluctuations & Dynamic Pricing
    Our fares may fluctuate based on:
    • Seasonal demand
    • Special events
    • Vehicle availability
    • Location
    • Time of booking
    • Rental duration
    Prices are not guaranteed until the booking is confirmed.
  12. Promotional Rates & Discounts
    Occasionally, we offer:
    • Discount codes
    • Seasonal promotions
    • Loyalty discounts
    • Special membership rates
    Each promotion has its own rules, such as minimum rental duration or blackout dates.
    Promotional rates cannot be combined with other discounts unless explicitly stated.
  13. Currency Conversion & International Rentals
    If you book using a foreign payment card:
    • Currency conversion fees may apply
    • Exchange rates are determined by your bank or card issuer
    HCL Car Rental does not determine exchange rates.
  14. Errors & Omissions Disclaimer
    While we strive for accuracy in pricing, HCL Car Rental reserves the right to correct:
    • System errors
    • Display errors
    • Misquoted amounts
    • Invalid promotions
    In such cases, we will promptly notify you before processing the payment.
  15. Your Agreement
    By completing a reservation with HCL Car Rental, you acknowledge that:

    • Optional services are billed separately
    • Taxes and fees may vary by location
    • Charges may apply for damage, tolls, or late returns
