  1. Reservation Processing & Confirmation
    When you submit a reservation request through the HCL Car Rental website, mobile pages, or customer support team, our system immediately begins reviewing availability for your selected:
    • Vehicle category
    • Pickup and return location
    • Rental dates and times
    • Add-ons and protection plans
    Once availability is verified, you will receive:
    • A Booking Confirmation Number
    • A detailed booking summary
    • Pickup instructions
    • Information regarding deposits, required documents, and rental conditions
    If a vehicle category becomes unavailable, we will provide:
    • A comparable or higher-class vehicle at no additional cost
      or
    • The option to adjust your pickup time or location
    We aim to ensure that all confirmed reservations are fulfilled without disruption.
  2. Payment Processing & Authorization
    Depending on the rental type, we may require:
    • Full prepayment
    • Partial payment
    • A refundable authorization hold
    • A credit card guarantee
    All payments are processed through secure, PCI-compliant systems.
    Your bank or card issuer may temporarily place an authorization hold to verify available funds.
    This hold is released according to your bank’s processing timelines once the rental is complete.
  3. Pickup & Vehicle Handover
    Upon arrival at the pickup location, you must present:

    • A credit/debit card in the renter’s name
    • Your reservation confirmation
    • Any required documentation for international renters (such as an IDP)
    Our team will then:

    For airport locations, shuttle or transit instructions will be included in your confirmation email.

  5. Delivery of Optional Services & Add-Ons
    Optional add-ons such as child seats, GPS units, Wi-Fi devices, toll transponders, or additional driver add-ons are provided only when they have been explicitly requested during booking or at the time of pickup.

    We ensure that optional items:
    • Are clean
    • Are functional
    • Meet safety standards
    • Are included in your rental agreement summary
    If an add-on becomes unavailable, we will notify you immediately and provide an equivalent option whenever possible.
  6. Rental Duration, Billing, and Adjustments
    Your rental charges are based on:

    If you extend your rental:

  8. Roadside Assistance Fulfillment
    If roadside assistance is included in your rental or purchased as an add-on, we coordinate:

    Availability may vary by location and provider, and certain conditions may not be covered if caused by negligence or improper use.
  9. Vehicle Return Process
    Upon returning the vehicle, our agent will:

    • Check for new damage

    After vehicle return, your refundable security hold covers:

    Once final charges are assessed, any remaining hold is released.
    Refund timing depends solely on your bank’s processing schedule (typically 3–10 business days).
  11. Fulfillment Failures & Customer Remedies
    If HCL Car Rental is unable to fulfill a confirmed reservation due to circumstances beyond our control, such as:
    • Severe weather
    • System outages
    • Fleet shortages
    • Safety concerns
    • Government restrictions
    We will provide one or more of the following:
    • A full refund of prepaid charges
    • Assistance securing a vehicle through a partner location
    • A complimentary upgrade (when available)
    • A credit toward a future rental

  12. Renter Responsibilities in Fulfillment
    To ensure smooth service delivery, renters must:

    • Report accidents or damage immediately
